Job Title: Assistant Manager/ Deputy Manager, Human Resources
Responsibilities/Duties:
Assist Superior Authority in establishing, developing, implementing and maintaining the appropriate Management System of the Company by following updated Labour Law, Employees' Code of Conduct, SOPs, Attendance, Leave and Disciplinary Management System of the Company and ensure implementation of compliance activities in coordination with the superior authority. All compliance correspondence and documentation should be taken care of and answered promptly as well as part of integral responsibility. ·
Respond to emails and queries from buyers and stakeholders in the fastest way maintaining extra mile initiative and injecting the same spirit among fellow team members. ·
Prepare for the audits and visits of all forms well ahead of the schedule through teamwork and notify the higher management both in written and verbal form in the most effective way to ensure transparency and accountability of work.·
Establish a high degree of ethical practices while tackling buyers, audit farms and stakeholders.·
Maintain Personnel Files, Office Files, Deeds and Documents etc. appropriately.·
Prepare a complete expat employee database containing all necessary information·
Maintain employee attendance & leave management daily.·
Provide support in training & development.·
Provide support in conducting Recruitment & Selection of employees.·
New recruited employees joining formalities & day-long orientation including salary account banking formalities.·
Facilitate the process of the end-year performance assessment.·
Development & implementation of HRIS & HR-related policies·
Physically visiting in workstations and realizing the actual skill requirements of manpower·
Finding the long absence employees & releasing related letters within due time.·
Drafting different kinds of official letters like, show cause, warning letters, inquiry letters etc. · Led a team to prepare working environments following social compliance standards as well as GOTS, OCS, INDITEX, H&M, M&S, SEDEX, BSCI, ZARA, HIGG & Environment requirements·
Maintain payroll software and Serve payroll related Documents in time of social audit.·
Ensuring a smooth relationship between management and staff & workers & mitigating any conflict/Grievance handling in consultation with management.·
Follow-up day-to-day Transport Issues like Billing, Maintenance and Driver Engagement with the coordination of the Transport Supervisor.·
Issue office notes, memos, office orders, office circulars and various letters in respect of HR issues.·
Need to have a basic understanding of all licenses regarding maintaining and operating the factory, i.e.: Factory trade license, fire license, environment license, factory inspectorate directorate license, IRC, ISO, Factory fair policy, boiler license.·
Obtain/renew all licenses (e.g., BERC, Trade License, Fire License, Bond License, Membership. etc.).·
Assist & coordinate the performance appraisal process & ensure appropriate and effective communication.·
Any other tasks assigned by management.
Additional Requirements
Bachelor’s Degree in Business (major in HR is an added advantage)
At least 8 years of experience in human resources management including a minimum three years in managerial position
Demonstrated success as an HR generalist supporting employee groups of 200+ employees in a multi office environment.
Demonstrated ability to identify, recommend and implement best practice approaches that deliver rapid, consistent, high-quality HR management and service provision in an emergency environment
Strong collaborator with effective interpersonal and analytical skills who is able to work seamlessly across countries, cultures, and organizational units required
Demonstrated ability to work, manage, and meet competing deadlines in a fast-paced, high-volume environment and on deadline; aptitude for problem solving and decision making needed
Superb written and verbal communication skills required. Capable of managing conflict and conflicting views.
Good knowledge of HRIS systems preferred.
Good fluency in English is preferable.
Location/Working Conditions:
